Important Patient Information

Payments

We know that mental health care is an investment, and we’re committed to making the process clear and straightforward. At Empowered Minds Clinic, each psychiatrist works independently, which means consultation fees are set by the individual doctor rather than the clinic. These fees reflect their experience and usual rates across other practice locations, ensuring consistency and fair recognition of their time and expertise.

You don’t need to pay when you book. Two weeks before your appointment, you’ll receive an email with a secure payment link. If payment hasn’t been made three days prior to your appointment, our system will process the fee using the card details you provided at the time of booking to ensure that your booking is confirmed and your care isn’t delayed.

Medicare

Medicare rebates help reduce your out-of-pocket costs and are based on the time you spend in your appointment. Rebates are processed automatically at the end of the day and paid directly into the bank account you have registered with Medicare; usually by the evening of your appointment.

To be eligible for a rebate, you’ll need a valid referral from your GP or specialist. Medicare updates its fees and rebate amounts regularly, so we recommend checking their website for the most current information.

Cancellation and Late Arrival Policy

Cancellations with at least 2 business days’ notice will not be charged for the appointment. Cancellations 48 hours to 24 hours before your scheduled appointment will incur a 50% fee. Less than 1 days’ notice (24 hours or less before your scheduled appointment) will be payable for the full fee. For appointments cancelled 48 business hours prior to the scheduled appointment, the fee will be processed on the day you would have attended your appointment. If you arrive more than 15 minutes late, we may be unable to accommodate the appointment due to time constraints. In such cases, it will be considered a “no-show,” and no refund or Medicare rebate will apply. You can cancel your appointment online through your Halaxy patient portal or by following the link sent to you in your appointment confirmation email. If you need to cancel within 48 hours of your appointment, please contact our reception team on 07 2113 9116 to ensure that the allotted time can be offered to someone else in need.

Referrals

To see a psychiatrist at Empowered Minds Clinic, you’ll need a current referral from your GP or another specialist. This helps us keep your care coordinated and ensures you’re eligible for Medicare rebates. Please check that the details on your referral are correct; such as your identity and contact information; before uploading it through the Book Now tab when completing your appointment form.

Please be aware that referrals do not stay valid indefinitely: GP referrals are valid for 12 months, while specialist referrals expire after 3 months. Make sure yours will still be valid on the day of your appointment, as Medicare rebates can’t be processed without it.

It doesn’t matter who your referral is addressed to – as long as it specifically requests a psychiatrist, you can use it even if it was originally written for another psychiatrist or clinic.
